We use a local courier service and they send me invoices via email. I used to always write a check but about a year ago they started accepting online payments. When I open the invoice, I get a pop-up asking me if I'd like to pay online using a debit or credit card. I type in my info and send and that's that.
Well, lately I stopped getting the pop up or the chance to pay online. When I told the vendor, they said clear the cookies, open a new browser, blah blah blah. Sometimes it works, sometimes I give up and cut a check.
They recently wrote me about an outstanding invoice from June. I checked my records and see that I made an online payment and the money has come out of our account. I gave the vendor the transaction information listed. The vendor said the payment shows up as pending on his side. He started asking me if I put in the wrong routing number, etc. but I am not asked for any of that information. I am only asked for my debit card info. So then he asked me to call my bank and find out about it. Well, they don't see anything more than what I see: payment went to the correct name of the vendor on such and such date. The vendor said he uses a third party payment processor and he will check with them.
What is my obligation here? I want them to get paid but our money is already gone!

If it went through with your bank and it shows their name, it is in their end.

(14,400 posts)if it was a direct online payment from your account to the vendor and ask them to confirm the destination of the money. If they tell you that it was deposited in the vendor's account you should be able to provide them with that confirmation and be done with it.
If you paid on their website using a card you should have an invoice from their website saying the payment was accepted along with a statement from your credit card company or bank confirming the payment.
If you have the invoice you're good. Send them a copy and it should go away.
If they claim the credit card company never paid them send them a copy of your statement highlighting the payment and they can take it up with the card company.

It went out from the online banking thing, received by the credit union, and, after research, they discovered that some dufus down there applied it to someone else's account.
that's a possibility too in your case...
